Supplier Performance/Innovation Award Privacy Notice for application submitters

When you submit a supplier application for the ZF Supplier Performance/Innovation Award on behalf of a given supplier, using this questionnaire, you share with ZF the following categories of your personal data:

  • your company email address,
  • your company telephone number,
  • the country of your residence,
  • the role you hold within your organization, and depending on the composition of your company email address potentially also
  • your first and last name.

This notice was drafted to let you know among others how ZF uses your personal data, why it uses this data and what rights you are entitled to.

1/ Who is the data controller of your personal data submitted via the Supplier Performance/Innovation Award questionnaire?

The data controller of your personal data submitted via the questionnaire is ZF Friedrichshafen AG, Löwentaler Straße 20, 88046 Friedrichshafen Germany.

2/ How can you contact ZF’s Data Protection Officer?

3/ For what purposes and based on what grounds is your personal data used?

Your personal data which you share with ZF via the questionnaire is used to allow ZF to receive and process your application so that the supplier which you submitted can be considered for the Supplier Performance/Innovation Award. To do that, ZF relies on its legitimate interest which in this case means that it is in the best interest of ZF to promote beneficial business ties with its suppliers by rewarding excellence and adherence to best market practices.

4/ Who are the recipients of your personal data?

ZF will share your personal data with other entities within the ZF Group and ZF’s suppliers and services providers if this is necessary to receive and process your submission.

5/ Is your personal data sent to third countries?

Yes, your personal data is made available to other legal entities within the ZF Group, ZF’s suppliers and services providers which may be located outside the European Economic Area. All such data flows are fully compliant with relevant privacy requirements and rely either on adequacy decisions or other data transfer tools such as EU Standard Contractual Clauses. 6/ How long will ZF store your personal data?

ZF will store your personal data collected for the purposes of this Supplier Performance/Innovation Award as long as it is necessary to receive and process your application and will permanently delete all such data once this purpose has been achieved unless retaining this data is needed to allow ZF to defend itself against any legal claims or ZF had been already processing such data for purposes which continue to be applicable.

7/ What rights are available to you regarding the use of your personal data by ZF?

You are entitled to:

a) request a copy of your personal data,

b) ask ZF to delete your personal data,

c) ask ZF to correct or update your personal data,

d) object to the use of your data by ZF,

e) restrict the use of your data by ZF,

f) have your personal data ported to another entity.

8/ Can you file a complaint against ZF with a data protection supervisory authority?

Yes, if you are dissatisfied with how ZF handles your personal data or believe your privacy rights have been infringed, at any time you are entitled to submit a complaint to a supervisory authority in the country of your residence or the authority overseeing ZF’s compliance with data protection requirements which is der Landesbeauftragter für den Datenschutz und die Informationsfreiheit Baden-Württemberg, Lautenschlagerstraße 20, 70173 Stuttgart Germany.

9/ Is your personal data subject to automated decision making, including profiling?

No, ZF does not apply automated decision making or profiling when using your personal data collected for the purposes of the Supplier Performance/Innovation Award.

10/ Do you need you disclose your personal data to ZF?

No. Disclosing your personal data to ZF is not required however without this data ZF will not be able to accept and process your submission and you will not be able to participate in the Supplier Performance/Innovation Award program.
